01Who is responsible

02What Notevo does

Notevo is a study tool. You record a lecture on your phone; Notevo transcribes it, turns it into readable lecture notes, marks what the lecturer says about the exam (exam signals) with the exact second, collects lectures into a course book, and builds cards, quizzes, predicted exams, podcasts and oral exam practice from them.

03What we collect

Account: email, name, the identifier Apple or Google gives us when you sign in with them, interface language, note language, country, time zone, university, department, year, courses and timetable, exam dates, notification preferences.

Lecture recordings: your phone records in 60-second audio chunks and uploads them. Our server stitches the chunks, transcribes them and generates your notes. The audio is stored, encrypted, so that when you tap an exam signal you can replay the exact second the lecturer said it. Recordings may contain the voices of the lecturer and others in the room, which is why you must follow our recording consent guidance before you record.

Generated content: transcripts, lecture notes, exam signals, the course book, cards and review history, quizzes, predicted and practice exams and your answers (including photos of handwritten answers), chat messages, podcasts, your oral exam answers, your marks and progress.

Files you add: photos of the board or slides, imported audio/video and PDF files, past exams (images or PDF), syllabi. A timetable photo is processed only to extract your courses and times and is not stored after extraction.

Groups: groups you belong to, lectures you share, comments, reactions, reports and blocks.

Usage and technical data: in-app events (for example starting a recording, opening a note, screen views), app version, device type, push token; subscription status and purchase events via the app stores (we never receive card details); install source (campaign) and platform-permitted advertising identifiers; referral codes and rewards.

04How we protect it

Audio and lecture content (transcripts, notes, photos, exam files and everything generated from them) are encrypted at rest with AES-256-GCM using a separate key for each lecture; those keys are wrapped by a master key. A database or storage backup alone cannot be read. Data is protected with TLS in transit. Lecture content is never written to server logs. API keys never reach the device. You can lock the app with Face ID / fingerprint.

05Why and on what basis

To process your recordings and produce notes and study tools, run groups and manage your subscription (performance of a contract); to improve the product, keep it secure and prevent abuse (legitimate interest); for the anonymous exam pool (legitimate interest, which you can switch off in Settings); for ad measurement (your device permission / consent); to meet legal obligations.

06AI providers

OpenAI: speech-to-text (live transcript, lecture transcription, your spoken oral-exam answers) and text-to-speech (podcasts, oral-exam questions). Anthropic (Claude models): lecture notes, exam signals, the course book, cards, quizzes, lecturer profile, predicted exams, grading, chat, translation and reading photos/PDFs.

Providers receive only the content needed for that task, never your name, email or account details. They do not use this data to train their models, and neither do we.

07Groups and sharing

When you turn on sharing for a lecture (auto-share for a course, or share a single lecture) its notes and the material generated from them become visible to your group's members. Raw audio is not shared unless you turn on the separate "share audio" switch. You can stop sharing at any time.

Your comments and reactions in a group are visible to its members. You can report and block content or people; the group owner can remove members.

Merged lectures: when several members of a group record the same class, the server may combine their audio (picking the clearest audio for each part) to produce a better note for the group. The merged note is shared with the group; your own recording stays in your account.

08Anonymous lecturer exam pool

If "Contribute past exams" is on (it is on by default; you can turn it off in Settings), questions from past exams you upload are stored in an anonymous pool keyed by university + course code + lecturer name and used to improve predictions for other students. No user identifier is stored in the pool, we do not record who contributed, and nobody's personal data is ever shown to anyone else.

Because pooled questions are not linked to anyone, they can no longer be traced back to you; deleting your account therefore does not remove questions that were already anonymized. If you turn contribution off, exams you upload afterwards are not added. The file you uploaded and your own copy are deleted with your account.

09Other service providers

Subscriptions: Apple App Store, Google Play and RevenueCat. Ad measurement: AppsFlyer (install source and purchase events, never lecture content). Notifications: Expo push service. Error tracking: Sentry (user id only). Hosting: Hetzner (EU) and Cloudflare.

We do not sell your data and do not share it with anyone else unless required by law. Some of these providers may process data outside your country; such transfers rely on appropriate safeguards such as standard contractual clauses.

10How long we keep it

For as long as your account exists, or until you delete it. You can delete any lecture (its audio, notes and everything generated from it) at any time.

When you delete your account in the app (Settings → Delete account) the encryption keys of the lectures you own are deleted, so your audio, notes and other content become permanently unreadable, including in backups (crypto-erasure). Purchase records needed for accounting are anonymized and kept for the legally required period. You can export your data first from Settings → Export my data.

11Your rights

You can access, correct, delete and export your data and object to its processing (GDPR and Turkish KVKK). Use the in-app deletion and export, or write to [email protected]. EU residents may complain to their data protection authority; residents of Türkiye to the Personal Data Protection Authority (KVKK).

12Age

Notevo is not for anyone under 13. If you are under the age of digital consent in your country, you need permission from a parent or guardian. Store age rating: 12+.

13Changes

When this policy changes we notify you in the app and update the date above.
